Booking Terms & Cancellation Policy
Last updated: 3 October 2026 · Applies to Atlas Cove retreats at Casas na Ferraria, Portugal.
1. Operator
Atlas Cove retreats are organised by Atlas Cove, Lda. (NIPC / NIF 519459130, share capital € 10,000.00, registered with the Conservatória do Registo Comercial de Lisboa; R. Hermano Neves 18, 1600-477 Lisboa, Portugal). Full operator details are in the Imprint. These booking terms sit alongside our website Terms of Use and Privacy Policy.
Atlas Cove, Lda. is the package travel organiser within the meaning of Decreto-Lei n.º 17/2018 (transposing the EU Package Travel Directive 2015/2302). We are registered with Turismo de Portugal in the Registo Nacional de Agentes de Viagens e Turismo under RNAVT n.º 13548, we carry the professional liability insurance the registration requires, and client funds are protected by the Fundo de Garantia de Viagens e Turismo (FGVT). The registration can be verified in the public register at rnt.turismodeportugal.pt.
2. Prices and payment
Room rates are per person in euro (EUR). At checkout you can choose to pay in US dollars, pounds sterling, Canadian dollars or Swiss francs instead. The amount in that currency is converted from the euro price at that week’s European Central Bank reference rate, includes a small margin for currency conversion costs, is rounded up, and is shown to you before you pay. Once you book, your deposit, balance and any add-ons are charged in that currency at that same rate. A deposit of 20% of the room rate is payable when you apply, through Mollie’s secure checkout. It reserves your place while we confirm your booking after your Alignment Call; this applies to every booking without a personal invitation code, including bookings made with a partner or member code. If we cannot confirm your place, we refund the deposit in full within 14 days. The remaining balance is due 45 days before the retreat start date; if we confirm your place later than that, the balance is due 7 days after our confirmation and no later than the day before the start. If you book with a personal invitation within 45 days of the retreat start date, the full amount (including any pre-booked add-ons) is due at the time of booking in a single payment. Bookings close 7 days before the start.
We accept credit and debit cards, PayPal, iDEAL, Bancontact, EPS, SEPA bank transfer, Pay by Bank, and Apple Pay or Google Pay, depending on your device, your country, the amount and the currency you pay in. Payments are processed by Mollie (Mollie B.V., Amsterdam).
The balance, and a full payment where one is due at booking, can also be paid in instalments with Klarna (Klarna Bank AB, Stockholm, Sweden), where Klarna is available in your country and for the amount in question, and only for payments in euro or Swiss francs. The deposit itself is always paid directly.
If you choose Klarna, the credit agreement is between you and Klarna, not with Atlas Cove. Klarna decides on its own whether to accept the payment, may run a credit assessment, and acts as an independent controller of the data you give it. Your booking contract with us, and everything in these terms about cancellation and refunds, is unaffected by how you paid. If we refund you, the refund goes back through Mollie to Klarna and Klarna settles with you.
Optional add-ons (for example massage or private sessions) can be pre-booked and are billed with your balance payment, not the deposit, at the add-on prices in force on the day you booked. IV drips and bloodwork are arranged in a private conversation with our clinical partner, who delivers them and bills you directly on site.
Add-ons can be changed on your booking page up to 7 days before arrival.
If you pay by SEPA bank transfer, it can take a few days to confirm. Your room stays reserved while the transfer is pending, so please don’t pay twice.
If the balance has not been received by the due date, we will remind you in writing. If it is still unpaid 14 days after the due date, we may treat your booking as cancelled by you, and Section 4 applies. We do not offer separate payment plans; the balance can be paid in instalments with Klarna where Klarna is available in your country and for the amount.
3. Confirmation
Bookings are subject to our confirmation. After your deposit and your Alignment Call we review your booking, including your health-readiness answers, and confirm your place by email together with your contract. A booking made with a personal invitation code is the exception: we send that code after your Alignment Call, so your place is confirmed with your payment, there is no second call, and your contract follows by email. Places are limited to ten rooms per retreat.
4. Cancellation by you
- 60 or more days before the start date: cancel for any reason and receive a full refund of everything you have paid, including your deposit.
- Fewer than 60 days before the start date: the amount you have paid (deposit and any balance) is held as credit toward another Atlas Cove retreat, rather than refunded.
Refunds are made within 14 days of your cancellation, to your original payment method and in the currency you paid in, for the amount you paid. Credit is kept in the currency you paid in.
Moving your booking: up to 45 days before arrival, your place can move to a later Atlas Cove retreat. If the new retreat is priced differently, the difference is settled with the move; nothing is paid twice. Closer than 45 days, the credit rule above applies.
Credit does not expire and can be used for any future Atlas Cove retreat. If the retreat you choose costs more, you pay the difference; if it costs less, the remaining amount stays as credit. Credit is not paid out in cash.
The remaining balance is due 45 days before the retreat start date and can be paid in full or in instalments with Klarna.
We strongly recommend travel insurance that covers retreat cancellation, in case your plans change. You can cancel on your booking page (the link is in your booking emails) or in writing to the contact address below. A cancellation on your booking page is a cancellation in writing; it takes effect when you confirm it there, and that date decides which of the two cases above applies.
5. Changes or cancellation by us
Each retreat requires a minimum number of guests to proceed. If we move the date of a retreat, or if the minimum is not reached, you may reschedule to another date, take full credit toward a future Atlas Cove retreat, or receive a full refund of all payments made. If we cancel a retreat outright, you will be offered an alternative date or a full refund of all payments made. Refunds are made within 14 days. We are not liable for flights or other travel arrangements you have booked separately, but we will gladly help you rearrange them. Your mandatory rights under applicable consumer and package travel law are not affected.
6. Health and fitness
At booking we ask a short set of health-readiness questions (PAR-Q). These help us run the week safely; a “yes” answer does not exclude you, it prompts a short conversation before we confirm. The retreat is not medical care and is not a substitute for advice from a qualified healthcare professional. Always consult your doctor before starting a new training, nutrition, heat/cold, or recovery programme, especially with a pre-existing condition, medication, or pregnancy.
Your health answers are special-category data and are processed only with your explicit consent, as described in our Privacy Policy.
7. Package travel
These retreats combine accommodation and other travel services and are sold as a package. Mandatory consumer protections under the EU Package Travel Directive (2015/2302) apply, including protection of your payments against operator insolvency. Details of our insolvency-protection cover and Portuguese travel-operator registration (RNAVT) are provided with your booking confirmation.
8. Right of withdrawal · exemption for fixed-date services
Distance contracts for accommodation services and other leisure services to be provided on a specific date or within a specific period are excluded from the 14-day right of withdrawal under Article 17(2)(l) of Decreto-Lei n.º 24/2014 (transposing Directive 2011/83/EU). A retreat booking falls within this exemption because each retreat has fixed start and end dates.
The cancellation and refund schedule in Section 4 above is the applicable framework for stepping back from your booking and is offered in lieu of a statutory withdrawal right.
9. Consumer dispute resolution
In case of a dispute, you may submit a complaint via the Portuguese electronic complaints book at www.livroreclamacoes.pt.
You also have access to the alternative dispute resolution entity: CNIACC: Centro Nacional de Informação e Arbitragem de Conflitos de Consumo, www.cniacc.pt, pursuant to Lei n.º 144/2015.
The European Commission online dispute resolution platform is available at ec.europa.eu/consumers/odr.
10. Governing law
These booking terms are governed by the laws of Portugal. This does not affect any mandatory consumer-protection rights you may have in your country of habitual residence within the EU. The courts of Lisbon shall have non-exclusive jurisdiction.
